INFORMATION FOR PRESENTERS
Poster Presentations
Enrollment
For poster presentations and inclusion of scientific
abstracts into the conference program, the author should enroll by April
30th, 2011 at the following address:
http://bvsms.saude.gov.br/bvs/htai/inscricoes_en.htm.
Poster Dimensions
Obey the established size parameters of 90 centimeters
for the width and 120 centimeters for the height. Presenters are
suggested to provide approximately 50 printed copies of the poster (on
A4 size paper) to distribute to conference attendees, keeping in mind
that prizes will be given to the best posters.
Tips:
- The poster will preferably contain: Introduction, Results and
Conclusion (including tables, graphs and charts), avoiding abbreviations
and acronyms, mainly in the conclusion.
- The title should have letters 5 cm in height.
- The size of letters within the body of the text should be 4 cm.
- The names of the author, institution, city and country should be 3 cm.
- Preferably double-spaced lines in the text body.
- The poster should be legible at a distance of two meters.
Poster Location
The posters will be displayed in the Pre-function Rooms A and B of the
Hotel Intercontinental, Rio de Janeiro. The exhibition will take place
Monday and Tuesday, the 27th and 28th of June, 2011. There will be a
help desk in the exhibition area to provide kits and to orient
presenters regarding where to place the posters. No other material will
be permitted, except for pushpins. ATTENTION: It is the authors’
responsibility to place and remove posters according to the designated
exhibition time periods, since the event production team will not be
available for preparing, transporting, setting up or taking down any
poster presentations. Nor will the production team print posters or
receive deliveries on behalf of presenters.
The works will be presented on the dates as informed in the e-mails sent
to the first authors on the list. The number attributed to the posters
will be on one of the boards located in the Pre-function Rooms A and B,
on the informed date. The works will be displayed according to the area
specified during enrollment: HTA Methods, Clinical Studies/Evidence
Based Health Care, Economic Studies, Health Policy and Practice, and
others.
Poster Presentation Schedule
During lunchtimes and the coffee breaks, all conference participants
will be invited to visit the poster exhibition. It is the author’s
responsibility to welcome conference attendees and answer any questions
the Poster Prize Committee or Student Prize Committee may have.

taken down by the established time will be removed and sent to

Oral Presentations
In accordance with the HTAi Annual Conference Guidelines, all
presentations must be given in English, the event´s official language.
For oral presentations and the inclusion of scientific abstracts into
the conference program, the author should enroll by April 30th, 2011 at

Oral Session Composition
Each oral session will be 90 minutes long and will hold four to six
presentations of approximately 15 minutes each, with a format of ten
minutes for the oral presentation and five minutes for a question and
answer period. The chairperson will determine the time limit for each
question and answer session (after each presentation or at the end of
each session). In order to guarantee that all presenters receive the
same opportunity, the chairperson of each session will be instructed to
rigorously meet the time limit reserved for each presentation.
IMPORTANT: Please check in 2 hours before the beginning of the oral
session at the media desk (Água Marinha room) to confirm your
participation, to verify that your short biographic presentation was
received and to drop off your presentation.
Bibliographic presentation
Please bring a printout of the following information:

Tips for oral presentations
Slides should be brief and with adequately sized letters. Quickly
present a summary of your methodology, results and implications for the
field in regards to the conference themes. Try to summarize the key
points at the end of the presentation, keeping in mind that within the
audience there will be professionals, investigators, international
experts, managers, policy-makers and also students.
Audiovisual
Each conference room will be equipped with computers enabled to function with any version of Microsoft PowerPoint.

Other Presentations
Plenary Sessions
In the first and second plenary session, each presenter will be allotted
a total of 20 minutes and at the end of each session there will be time
for a question and answer period, to be defined by the chairperson. In
order to guarantee the same opportunity to each participant, the
chairperson of the session will be instructed to comply with the time
limit established for each presentation.
The intention of the third session is to stimulate a debate amongst all
those present on how HTA can rise to the challenges explored in the
meeting, in the light of the progress, achievements and shortcomings
noted to date. To this end, a somewhat unconventional format has been
chosen for this session. At the beginning of the session, the chair will
invite six speakers to speak for about five minutes each, highlighting
what they see as the three or four key challenges for HTA and how they
believe HTA should address these over the next five to ten years. As
Chair, Chris Henshall will then invite comments and discussion from the
audience and the session will conclude with each of the six speakers
speaking for about two minutes with their concluding thoughts on the
challenges and next steps for HTA. The aim is to stimulate delegates to
think about their work and how it needs to develop to meet the
challenges of sustainable health care.

Each session will last approximately 90 minutes and it will be up to the
chairperson to determine how much time will be allotted for the
question and answer period.

Media Desk
All speakers are requested to check-in at the Media Desk 2 hours before
their presentation. For those presenting at the beginning of a morning
sessions, the speakers should identify themselves the day before. This
way it will be possible to verify the PowerPoint presentation on the
central server, a necessary measure to guarantee the technical aspects
of the speakers’ presentations.

Company Logos
HTAi policy prohibits exhibiting company logos or any other promotional
material in any of the conference rooms. It is requested that all
presenters comply with this policy.
Conflicts of Interest
The HTAi 2011 organizing committee has committed itself to offering an
impartial and balanced program based on the educational and scientific
objectives of the conference. In accordance with the HTAi Annual
Conference Guidelines, all HTAi 2011 presenters are required to explain
at the beginning of their presentation, and in all material for
dissemination, any possible conflict of interest and the source of
financing for the work being presented.
Press
There will be photographers contracted by the conference organizing
committee and accredited members of the press present at the event in
order to promote the conference.
Publications
The scientific abstracts from the conference will be published
electronically in the National Library of Medicine and in the conference
book of abstracts. Therefore, the HTAI 2011 publication may be cited.
Additionally, according to HTAi guidelines, all slides used in the oral
presentations will be made available on the event’s website, in a secure
PDF format, as soon as possible after the conference (with the
presenters’ permission).
